Moving Messages based on content using
Outlook Express
The following instructions outline the procedure involved to
move email messages that you receive in your inbox, to another folder, based on
email content. In this case we will move messages based on the subject
line of the incoming email, but rules can be made to look at many parts of the
incoming email and take appropriate action
The instructions here are for Outlook Express Version 6, but
other versions are very similar.
-
Open Outlook Express (screen
shot)
-
Your screen may look different, but that is ok.
-
Now to create the message rule, click on Tools, then
Message Rules, then Mail (screen
shot).
-
You will be presented with a New Mail Rule box (screen
shot).
-
In Area #1, check the box that reads "Where the subject
line contains specific words".
-
In Area #2, check the box that reads "Move it to the
specified folder".
-
In Area #4, Change the name of the rule to "Move Spam",
you can name it anything you want (screen
shot).
-
In Area #3, click on the "contains specific words" link
and enter "****SPAM****" (without the quotes) and click the Add button (screen
shot), then click OK.
-
Again in Area #3, click on the "specified" link, if there
is a "plus sign" (+) next to the "local Folders" click it, then click to
highlight the local folders icon, press the "New Folder" button and enter
"Spam" (without the quotes) (screen
shot), then click OK, then OK again, then OK again, it will look
like this.
-
One final click of the OK button will activate the rule
and create the spam folder.
-
At this point, any new email that contains the letters
"****SPAM****" in the subject line will be removed from your inbox and
placed in the "Spam" folder.
-
You can repeat this process to move messages of different
types, sort by sender, sort by recipient, etc. out of your inbox and into a
specified folder.
-
A useful subject line keyword to use is also "Virus
Alert" (without the quotes) if you are an anti-virus customer and wish
to move the alert messages to a different folder.
